Strengths
- Truly cross-platform - iPhone, Android, Mac, Windows, the web, and browser extensions, all in sync. If your life is split across devices, everything is in one place everywhere.
- Deep organization - projects, sub-projects, labels, filters and saved views, plus fast natural-language entry like "every Monday 9am #Work". For a big, structured backlog it is hard to beat.
- AI helpers for input - Ramble turns a voice ramble into several structured tasks, Task Capture reads text, photos and PDFs into tasks, and Smart Schedule suggests new dates for a pile of overdue items.
- Established shared projects and a big integration ecosystem - invite collaborators to a project, and it connects to a wide range of other tools.
Limitations
- You do the filing - Todoist captures beautifully, but everything is just a task you sort into projects and labels yourself. It has no idea what a thing actually is or how it should behave; it stores what you organize, it does not work it out for you.
- Overdue work piles up - Smart Schedule suggests new dates you then have to accept in bulk; nothing reschedules on its own, and there is no escalating nudge, so missed tasks just sit there marked red until you deal with them.
- Reminders that repeat until done are not its model - a reminder fires, and if you ignore it, it is gone; the task waits silently for you to come back.
- The good parts are gated - basic reminders are now free, but multiple reminders per task, custom-offset and location reminders, unlimited Ramble and AI, and 100MB uploads all sit behind Pro ($60/year), with Business at $96/user/year.
- Sharing means assigning inside a project - to hand someone a task, they have to be a member of a shared project you both joined; it appears in their Todoist as an assignment inside that shared project, not a standalone reminder you can push to anyone or any group by name.
RemindMe
An app that works things out and remembers for you: say what is on your mind, however it comes out, and it comes back as reminders that each know what they are and when to nudge you.
Strengths
- Capture it however it comes out - say it in any language, type it, snap a photo or a screenshot, or send a document, and a messy sentence comes back as separate reminders.
- The AI actually thinks about what you tell it - it works out what each thing is, so you never file anything into a project, and fills in what it can from common sense, what it has learned about you, and how things work where you live. Say 'after work' and it lands when your day usually ends; give it an exact time and it uses that. It keeps learning your people and preferences, so each time it needs less from you.
- It follows through so you do not have to - deadlines surface days ahead with a countdown, open tasks nudge harder the more urgent they get, and anything you miss quietly reschedules to a new time you can act on instead of sitting red on a list.
- Share it, and everyone it is for is reminded. @mention a person or a group and the reminder becomes theirs too, on their phone. It is a real reminder, not a task in a project they have to join. In a group, anyone can add reminders for everyone, so remembering is shared, not one person's job.
- Private by design - your contacts are matched on your phone and never leave it, and your reminders are never used to train AI.
- Free, with generous AI limits.

The verdict
Pick RemindMe if you want to say a thing once and trust it is handled. Speak it, type it or snap a photo, and it comes back as the right reminder, timed well, nudging until it is done, and rescheduling itself if you miss it. @mention a person or a group and it is shared onto their phone too. It works out and follows through on what a list leaves to you.
The one real reason to choose Todoist is if your work lives in projects across every device you own, or you need Android today. It organizes tasks into projects and labels, but that is a backlog you keep tidy, not an AI brain that makes sure everyone remembers.
